VLS Pharmacy prescription submission flow

How the VLS Pharmacy prescription submission flow works

The VLS Pharmacy prescription submission flow is the path a compounded prescription takes from a prescriber to VLS Pharmacy: the provider writes the patient-specific Rx on a state-issued prescription pad or prescriber-created form and submits it via fax to 855-491-0799, through an EMR system, or by calling 1-844-857-5588. VLS Pharmacy — the 503A compounder itself — receives the prescription, verifies prescriber licensure and completeness, and contacts the clinic if anything is missing before it begins compounding. There is no online prescriber portal in the flow.

This page details how a prescription travels from the prescriber to VLS Pharmacy, where the fax-and-EMR handoff breaks, and how Fizy Health validates the prescription details before they ever reach a compounder.

The submission steps

From prescriber authorization to VLS Pharmacy

VLS Pharmacy does not publish a detailed Rx handoff diagram. This describes the standard fax-and-EMR submission flow for a 503A compounder. Confirm any EMR-specific setup by contacting info@vlspharmacy.com.

  1. 01

    Prescriber writes the patient-specific Rx

A provider licensed in the patient's state writes the compounded Rx on a state-issued prescription pad or a prescriber-created form, specifying the medication, strength, SIG, and quantity. VLS Pharmacy and New Drug Loft do not supply prescription forms.

  2. 02

Prepare the fax cover sheet or EMR notes

For fax: complete the VLS fax cover sheet checklist before sending. For EMR: set the state to New York and enter full patient demographics, medication details, dosing instructions, and known allergies in the Pharmacy Notes field — omitting these is the most common cause of a VLS callback.

  3. 03

Submit via fax, EMR, or phone

Fax to 855-491-0799, send via EMR (search VLS Pharmacy in New York), or call 1-844-857-5588 between 9:30 AM and 6:30 PM EST Monday through Friday. For immediate orders or clarifications, phone is the fastest channel.

  4. 04

VLS verifies the prescription and prescriber

VLS Pharmacy receives the Rx and checks completeness, SIG validity, and prescriber state licensure. If information is missing or the prescriber is not licensed in the patient's state, VLS contacts the clinic to complete the prescription before compounding can begin.

  5. 05

    Accept, compound, and dispense

Once verified, VLS Pharmacy compounds the medication in its USP 797/800-compliant sterile Brooklyn facility or at New Drug Loft in Manhattan for non-sterile formulations, and ships cold-chain to the patient.

Where it breaks

  • Incomplete SIG or missing demographics trigger a callback

An incomplete SIG or absent patient information prompts VLS to contact the clinic before compounding begins, delaying the order while the prescriber corrects and resubmits.

  • Prescriber-state licensure mismatch

If the prescriber is not licensed in the patient's state, VLS flags the issue and the prescription cannot compound until a licensed provider reauthorizes it.

Why the prescription submission is where orders stall

A compounded prescription submitted to VLS Pharmacy has to satisfy three checks before compounding begins: a complete and fillable SIG, a prescriber licensed in the patient's state, and available stock. When a prescription arrives by fax or EMR with incomplete information, VLS contacts the clinic for clarification — and the order waits. Because there is no pre-submission validation layer in the fax-and-EMR flow, the clinic discovers problems only after the submission already went out.

Fizy Health validates prescription details before they reach any compounder. Cart validation checks the SIG, prescriber state licensure, and stock before checkout, so the prescription that submits to the 503A partner is one it can fill without a callback. That moves the correction work out of the prescriber's day after the fact and reduces the fax-and-resubmit loop.

Is the VLS Pharmacy fax-and-EMR handoff fine — or do you want the prescription validated before it submits?

FAQ

VLS Pharmacy prescription submission — common questions.

  • Flow

How does a prescription get submitted to VLS Pharmacy?

A prescriber writes the patient-specific Rx on a state-issued pad, then submits via fax to 855-491-0799 (with the VLS fax cover sheet), through an EMR system (search VLS Pharmacy in New York, set state to New York), or by calling 1-844-857-5588 between 9:30 AM and 6:30 PM EST Monday through Friday. There is no online submission portal.

  • Role

Does VLS Pharmacy fill the prescription itself?

Yes. VLS Pharmacy is a 503A compounding pharmacy — it is not a routing platform. VLS (Brooklyn, sterile and non-sterile) and its sister location New Drug Loft (Manhattan, non-sterile) receive the prescription directly, verify it, compound it, and ship it to the patient.

  • SIG

Why do compounded prescriptions get held or rejected by VLS?

The most common reasons are an incomplete or non-standard SIG, missing patient demographics in the fax or EMR submission, or a prescriber not licensed in the patient's state. When these issues are found, VLS contacts the clinic before compounding — which delays the order until the correction is made and the Rx resubmitted.

  • Validation

Does VLS Pharmacy validate the prescription before compounding?

VLS reviews and verifies each prescription after it arrives. If information is missing or a licensure issue is found, VLS contacts the clinic for clarification before compounding begins. Fizy Health validates the SIG, prescriber licensure, and stock before checkout so the prescription is complete before it ever submits.

  • EMR

How do I submit via EMR to VLS Pharmacy?

Search for VLS Pharmacy in your EMR system and set the state to New York to locate the correct facility. Include all patient demographics, medication details, dosing instructions, and known allergies in the Pharmacy Notes field. Missing notes are the most common reason VLS contacts the clinic for additional information.

  • Comparison

How is the Fizy Health submission flow different?

Fizy Health validates the SIG, prescriber state licensure, and stock before the prescription hands off, and lets prescribers submit many patients through one cart in a single checkout session. VLS Pharmacy is a fax-and-EMR per-Rx flow with verification that occurs at the compounder after submission.
