How Belmar Pharma Solutions LifeFile user roles work
Belmar Pharma Solutions LifeFile operates with three primary roles: prescriber, authorized agent, and admin. Prescribers are the licensed clinicians whose NPI and DEA credentials authorize compounding orders. Authorized agents are clinic staff formally designated in the application to place orders on a prescriber's behalf — this is a legal designation, not a setting toggled in LifeFile. Admins have administrative access to the clinic account. Because LifeFile is EPCS compliant, prescribers cannot share credentials with authorized agents for controlled-substance orders.
This page explains LifeFile's three-role model, how authorized agent designation works, what EPCS compliance means for prescriber credentials, and how Fizy Health handles role-based access.
Three roles — prescriber, authorized agent, admin — each with distinct responsibilities.
LifeFile's role structure at Belmar Pharma Solutions is shaped by EPCS compliance and the legal requirements for compounding pharmacy ordering. Prescribers hold the authority to order; authorized agents execute orders on their behalf through a formal legal designation in the application. Admin access supports account management. Role changes — especially adding or changing authorized agents — require coordination with Belmar's team, not a self-serve settings change.
What you need first
- Prescriber rolePrescribers are licensed clinicians with active NPI and DEA registrations. They sign off on compounded medication orders in LifeFile. For controlled substances, EPCS compliance requires the prescriber to authenticate with individual credentials — authorized agents cannot sign on a prescriber's behalf for EPCS orders.
- Authorized agent roleAuthorized agents are clinic staff formally designated in the Belmar application to place orders on behalf of a prescriber. The designation is a legal element of the application, not a permission toggled in LifeFile. Agents can submit non-controlled orders but cannot sign off on EPCS-controlled prescriptions. Changes to authorized agents require a new form submission to Belmar.
- Admin roleAdmin users have account-level access for clinic management tasks. The exact scope of admin permissions is confirmed during LifeFile training with your Solutions Engineer. For access questions, contact portalsupport@belmarpharmasolutions.com.
How access works
- 01Identify all prescribers and agents before applyingList every prescriber who will order through LifeFile and every staff member who needs authorized agent access. Because agent designation is a legal element of the application, the list must be finalized before submission — changes require a new form later.
- 02Complete the application with role designationsSubmit the clinic application with NPI and DEA for each prescriber and named authorized agents for each prescriber they support. Your Solutions Engineer (M-F business hours) can confirm whether your state requires additional documentation for agent designations.
- 03Complete LifeFile training for each roleThe free one-on-one LifeFile training session after approval covers how each role functions in the portal — what prescribers sign off on, what agents can submit, and how admin tasks work. Each team member should understand their role before the first order.
- 04Submit a new form to change authorized agentsIf staff roles change after the initial application, contact portalsupport@belmarpharmasolutions.com or your Solutions Engineer to initiate a new authorized agent form. Role changes are not self-serve in LifeFile.
Common access issues
Authorized agent designation not completed before the application
If a staff member needs to place orders but was not listed as an authorized agent at application time, a new form must be submitted. This can delay that staff member's ability to order until the form is processed. Build the complete agent list before the first submission.
Authorized agent attempting EPCS sign-off
EPCS compliance requires the prescriber's individual credentials for controlled-substance orders. Authorized agents cannot sign off on EPCS prescriptions on behalf of a prescriber. If your clinic orders controlled substances, every relevant prescriber needs their own LifeFile credentials provisioned.
Evaluating Belmar Pharma Solutions roles — or comparing how role-based access works on a self-serve platform?
Belmar Pharma Solutions
You have a stable team with finalized authorized agent designations.
- Your prescribers and authorized agents are identified before the application and the team is stable enough that role changes are infrequent.
- Your clinic needs EPCS-compliant prescribers with individual credentials for controlled-substance ordering through LifeFile.
- You are comfortable having role changes handled via a new form submission to portalsupport rather than a self-serve dashboard adjustment.
Fizy Health
You want role-based access you can adjust in the dashboard.
- You want to add, remove, and adjust prescriber and staff roles directly from the Fizy Health dashboard without filing a new form.
- Your team composition changes regularly and you need role management that does not require coordinating with a support team for each adjustment.
- You want NPI and DEA validated at signup with role-based access visible from the first session, not after LifeFile training.
What self-serve role management looks like.
Fizy Health role assignments are managed from the dashboard. Add prescribers, adjust staff roles, and set access levels without filing a form or waiting for a business-hours support response.
Add and adjust roles from the dashboard
Invite prescribers and staff, assign roles, and modify access levels directly in the Fizy Health dashboard — no new form required per team change.
NPI and DEA validated at signup
Prescriber credentials are verified in real time at self-serve signup. Role-based access opens immediately after validation — no training session required before the first order.
Prescriber sign-off built into the checkout flow
EPCS-capable prescriber authentication is integrated into the Fizy Health checkout workflow — no separate portal step to complete prescriber sign-off.
One role framework covers all 503A partners
Role assignments apply across every assigned 503A partner pharmacy — no separate agent designation per pharmacy portal.
What clinics ask about Belmar Pharma Solutions user roles and permissions.
- Roles
What user roles does Belmar Pharma Solutions LifeFile have?
LifeFile operates with three primary roles: prescriber (licensed clinician with NPI and DEA who authorizes orders), authorized agent (staff designated in the application to place orders on a prescriber's behalf), and admin (account-level access for clinic management). Role assignments are set during the application process and confirmed in LifeFile training.
- Authorized agents
What is an authorized agent in Belmar Pharma Solutions LifeFile?
An authorized agent is a clinic staff member formally designated in the Belmar application to place compounding orders on behalf of a prescriber. The designation is a legal element of the application — not a setting toggled in LifeFile. Authorized agents can submit non-controlled orders but cannot sign off on EPCS-controlled prescriptions. Changes to authorized agents require a new form submission.
- EPCS
Can authorized agents sign off on controlled-substance orders in LifeFile?
No. LifeFile is EPCS (Electronic Prescribing of Controlled Substances) compliant, which requires the prescriber's individual credentials to authenticate controlled-substance orders. Authorized agents cannot sign off on EPCS prescriptions on a prescriber's behalf — the prescriber must authenticate each controlled order personally.
- Changes
How do you change authorized agents in Belmar Pharma Solutions LifeFile?
Authorized agent changes require submitting a new form to Belmar — the change is not self-serve in LifeFile. Contact portalsupport@belmarpharmasolutions.com or your Solutions Engineer (M-F business hours) to initiate the process. Plan for processing time before new agents can place orders.
- Multi-portal
Do authorized agent designations apply across all four Belmar portals?
No. Authorized agent designations are per-application. If your clinic uses multiple Belmar pharmacy portals — Colorado, AZ/FL/WI, Kansas, or Belmar Select — and a staff member needs agent access to more than one, they must be designated separately on each portal's application.
- Alternative
How does Fizy Health role management compare to Belmar Pharma Solutions?
Fizy Health manages roles through the dashboard — prescribers and staff are added, adjusted, or removed without filing a form or contacting support. NPI and DEA are validated at signup and role-based access applies across all assigned 503A partners from the first session.
