Belmar Pharma Solutions first order guide

How the first order works in Belmar Pharma Solutions LifeFile

After LifeFile training, a clinic's first order in Belmar Pharma Solutions follows three core workflows: Add New Patient to create the patient record, Submit New Order to send the initial prescription, and Submit ezRefill for subsequent orders on the same prescription. Video guides for each workflow are available on the belmarpharmasolutions.com/portal-login/ page. EPCS-compliant prescriber sign-off is required for controlled substances in the Submit New Order step.

This page walks through the Belmar Pharma Solutions LifeFile ordering workflow step by step, what to have ready for the first order, and how Fizy Health handles clinic ordering.

How LifeFile ordering works

Three workflows power every LifeFile order.

The Belmar Pharma Solutions LifeFile portal organizes clinic ordering around three core workflows: Add New Patient, Submit New Order, and Submit ezRefill. Clinics cannot access the portal until LifeFile training is complete — training is the prerequisite to placing the first order. Video guides for each workflow are available at belmarpharmasolutions.com/portal-login/ and are reviewed during the free one-on-one training session.

What you need first

  • LifeFile training completedThe free one-on-one LifeFile training session must be completed before your clinic can place its first order. Training is scheduled after application approval and covers all three core workflows.
  • The correct LifeFile portalYour first order must go through the portal that matches the Belmar pharmacy your clinic is enrolled with — Colorado, AZ/FL/WI, Kansas, or Belmar Select Outsourcing. An order submitted through the wrong portal will not route correctly.
  • Patient record created firstThe Add New Patient workflow must be completed before submitting any order. LifeFile requires a patient record in the system before a prescription can be submitted on that patient's behalf.

How access works

  1. 01
Add New PatientCreate the patient record in LifeFile using the Add New Patient workflow. Enter patient demographics as required. This step must be completed before any order can be submitted for the patient. Video guidance is available on the belmarpharmasolutions.com/portal-login/ page.
  2. 02
Submit New OrderUse the Submit New Order workflow to send the initial prescription. The prescriber must sign off on the order. If the prescription includes controlled substances, EPCS compliance requires the prescriber's individual credentials for electronic sign-off — staff cannot sign on the prescriber's behalf for controlled orders.
  3. 03
Submit ezRefill for subsequent ordersFor returning patients whose prescription parameters have not changed, use the Submit ezRefill workflow. ezRefill streamlines the reorder process without requiring a full new prescription submission. Video guidance covers the ezRefill flow on the portal page.
  4. 04
Track the order in LifeFileAfter submission, monitor order status in the LifeFile portal. Order tracking reflects fulfillment status from the Belmar pharmacy. For order-specific issues, contact portalsupport@belmarpharmasolutions.com.

Common access issues

  • Submitting an order before adding the patient

LifeFile requires the patient record to exist before an order can be submitted. If you try to submit without completing Add New Patient first, the order will fail. Always run Add New Patient before Submit New Order for any first-time patient.

  • Ordering through the wrong portal

The four LifeFile portals — Colorado, AZ/FL/WI, Kansas, and Belmar Select — are separate systems. An order submitted through a portal that does not match your enrollment pharmacy will not route to your fulfillment location. Confirm the correct portal before submitting.

What clinics ask about the Belmar Pharma Solutions first order.

  • Workflow

How does the first order work in Belmar Pharma Solutions LifeFile?

The first order follows three steps: Add New Patient (create the patient record), Submit New Order (send the prescription with prescriber sign-off), and Submit ezRefill for subsequent orders on the same patient. Video guides for each workflow are available on the belmarpharmasolutions.com/portal-login/ page.

  • Prerequisites

Can I place a first order in LifeFile before training?

No. LifeFile training is a required prerequisite to placing the first order. Belmar provides free one-on-one training after application approval, covering Add New Patient, Submit New Order, and Submit ezRefill workflows. Your clinic cannot order until training is complete.

  • EPCS

What is required for controlled substance orders in LifeFile?

LifeFile is EPCS (Electronic Prescribing of Controlled Substances) compliant. Prescribers must use their individual credentials to sign off on controlled substance orders. • ezRefill

What is the LifeFile Submit ezRefill workflow?

Submit ezRefill is the LifeFile workflow for reordering on behalf of a returning patient whose prescription parameters have not changed.
